Administrator, Partnership & Data Services

Position Overview

The Administrator, Partnership & Data Services manages administrative systems, partnership coordination, and organizational data infrastructure supporting TASFRL operations. This role maintains landowner records, program participation tracking, service documentation, and internal reporting systems supporting TASFRL programs.

Reports to: Managing Director | Dotted-line relationship: Board of Directors

Key Responsibilities

Data Systems & Information Management

  • Maintain and administer TASFRL's organizational databases and internal data systems.

  • Manage landowner records, program participant records, and engagement histories.

  • Track services provided to farmers, ranchers, and land stewards, including program participation and outreach.

  • Maintain data accuracy, integrity, and documentation standards across TASFRL systems.

  • Develop and maintain dashboards, tracking tools, and reporting systems for program monitoring and organizational oversight.

  • Compile data for grant reporting, partner updates, and program evaluation.

  • Assist leadership with program impact tracking and internal data analysis.

Partnership Coordination

  • Work closely with the TASFRL Director to coordinate and document partnership activities.

  • Maintain records and tracking systems for partnerships, landowner engagement, and institutional collaborations.

  • Coordinate and document partner communications, meetings, and engagement activities.

  • Assist with preparation of materials for partner meetings, working groups, and collaborative initiatives.

  • Maintain internal documentation related to partnership agreements, collaborations, and shared initiatives.

Organizational Administration

  • Provide administrative coordination and operational support for TASFRL leadership and program staff.

  • Maintain organized digital documentation systems and internal knowledge repositories.

  • Support scheduling, meeting coordination, and documentation for internal organizational activities.

  • Assist with preparation and maintenance of organizational documents, internal reports, and operational records.

  • Assist leadership with preparation and organization of materials related to Board governance activities when requested.

Program & Operational Support

  • Support coordination between administrative systems and program implementation activities.

  • Assist program staff with tracking program participation, outreach activities, and service delivery records.

  • Coordinate logistics for workshops, outreach activities, and partner meetings when administrative support is required.

  • Maintain documentation for TASFRL initiatives, program activities, and reporting.

First 90 Days Focus

  • Become familiar with TASFRL programs, initiatives, and SFLR Network priorities.

  • Review and organize existing organizational databases and documentation systems.

  • Establish consistent tracking processes for landowner engagement and service delivery activities.

  • Support development of reporting tools that assist leadership with program monitoring and impact measurement.

  • Assist with documentation and coordination of organizational partnerships.

Qualifications

Minimum Qualifications

  • Degree or equivalent professional experience in data management, nonprofit administration, information systems, business administration, agriculture, forestry, environmental programs, or a related field.

  • Experience supporting organizational operations, office administration, or administrative coordination within a nonprofit or mission-driven organization.

  • Experience managing or maintaining databases, CRM systems, or program tracking platforms.

  • Experience supporting program operations, reporting systems, or project documentation.

  • Strong organizational, documentation, and information management skills.

  • Strong communication and coordination skills working with leadership, staff, contractors, and partners.

Preferred Qualifications

  • Experience working with CRM systems or nonprofit data platforms.

  • Experience supporting grant reporting or program evaluation systems.

  • Familiarity with agriculture, forestry, conservation, or rural development programs.

  • Experience supporting organizational partnerships or multi-stakeholder initiatives.

  • Bilingual communication skills (Spanish or Vietnamese preferred but not required).

Work Structure

  • Hybrid schedule combining remote work and occasional field or community engagement.

  • Independent contractor (1099) engagement with potential transition to full-time employment based on organizational needs and funding.

Travel Requirements

Travel may include local, regional, and statewide travel within Texas and may occasionally include travel outside of Texas for meetings, events, or partner coordination activities depending on program needs.

Compensation

Compensation commensurate with experience.
